TOWN OF PEMBROKE
300th ANNIVERSARY COMMITTEE MEETING
TOWN INCORPORATED MARCH 21, 1712
Date: April 19, 2011
Time: 7:00 p.m.
Place: Pembroke Country Club
The meeting opened at 7 p.m. Present were Bill Boulter, Julie Thompson, Sue Rego, Margi Neil, Lew Stone, Debbie Peckham, Phil Burnham, Rick Madden, Mike Muzyka, Judy Parks, Laura MacLeod, Fred Doyle, John Mattinson, John Proctor, Karen Proctor, Ginger Comeau, Pat Ahearn, and Janet Fahey.
Typed minutes were not available, so minutes were read by Janet and accepted.
1. Golf Tournament:
Julie Thompson discussed that there were just three weeks left before the Golf Tournament. She asked the Committee to check for people who were interested in attending and also asked people if they knew of any donations that could be obtained for the raffle.
2. Aviation:
Bill mentioned that there is no need for any type of permit for this event. Bill spoke to the owner of the airport, the State Police and the Coast Guard. Plymouth Alfa 1 Flight School is putting out circulars for antique aircraft for the Committee. There will be a flyover for the parade and Bill is working on more ideas.
3. Fundraising:
K.E.E.P.
Bill is speaking to the K.E.E.P. Company out of Bryantville regarding coins and pins. They spoke about different ideas for the backs of the coins and to sell them in a display case.
The owner of this company is very interested in doing business with this Committee.
First Church
Laura MacLeod spoke of a DVD that has been made by a person she knows regarding the history of the
Town. She wishes to know if we would want to sell something like this as part of our fundraising efforts.
Karen Proctor will take it and view it and let the Committee know how she feels about it.
Honey Baked Ham
Pat Ahearn asked if the Committee would be interested in this as a fundraiser. There is a 50 – 50 split with
the company when you do this as a fundraiser. The Committee will put this under advisement.
Mike Muzkya also spoke of fundraising to the Committee.
4. Parade:
Phil stated that he and his committee are working wonderfully together. He is looking for a co-chair for this committee. He wanted to thank John Mattinson for all his work. He also mentioned that they will meet on the second Wednesday of May and then on the first Wednesday of each month after that.
Phil stated that he has spoken to Crown Trophy regarding trophies for the different events within the parade.
Phil feels that they fly over will be very good to have at the parade – perhaps at the start of the parade. Obtaining the Clydesdales is being worked on.
5. Pewter Plates:
A decision has to be made on the price of the pewter plates as they have come in. Our cost for each plate is $43.20. It was then decided on to sell the plates for $75.00 each. All in attendance agreed upon this.
Perhaps after these are sold, and from the proceeds of these plates, the numbered plates can be ordered. They will sell for $100.00 each as they will be numbered. It was also decided that plate #1 will go to the Town. Perhaps a deposit of $50.00 could be obtained for the numbered plates. We could actually have these for 2012. Bill will put out a press release regarding the numbered plates.
6. Antique Car Show:
This will be on May 22, 2011. Tiny Brown and his family are in charge of this event. They asked for barrels to be placed at the event. Janet will put the request in for this. Bryantville deli is donating the food. Tiny has approximately 100 cars for this event and the Police Officers will assist Tiny. Shawn is making brochures and posters will be available. Tiny will need assistance with this program and the 300th will have a table of our products to sell at this event.
7. Treasurer:
No news.
8. Kickoff:
Bill suggested that perhaps we should have a cake for this event. He asked if there was anyone who knew of
anyone who could do a very large cake. He wishes to have this event on March 21, 2012 as it is the birth
date of our Town instead of in January as first planned. It was thought to have it at the Pembroke Country
Club. The cost would be less expensive in March also. This could be advertised as a Birthday Party for the
Town. We could have each Committee speak about the plans they wish to have for the year at this event.
9. Book:
Karen reports that the book is coming along fine. She is hoping to stay on schedule. She wishes to have this
book ready before Christmas, as she thought it would make good gifts. Shawn is getting a price for her so
she can place a price on the book to sell.
10. School Pins:
Bill mentioned that he is not getting response from Judi McAuliffe or Amy Durgin. Presently there is no
art contest going on. Bill has contacted the Supt. regarding this in hope to get things started for the
students.
11. Town Calendar:
Debbie Peckham states that she is willing to do a calendar for us at minimum cost. She will put together
one for us to look at next meeting.
12. Carnival:
Bob Dorsey has contacted another company. It is a no go for 2011.
13. Website:
Bill asked Committee chairs to please contact Deb Wall with any new information that they have.
Shawn will get a copy of the wine label to her also.
14. Wine:
Pat Ahearn will ask Foodies if they would also sell wine for the 300th and will get back to us.
15. Research:
Karen states any research she is doing is going along well.
16. Herring Run Road Race:
Beth York met with Rick Kates to gain information from him as he has done road races in Pembroke. The
route that was discussed was to start at Silver Lake Regional High School and then to Station, Forest,
Pelham and into the Center. Bill feels that this is a good route. A longer race along with a shorter race was
discussed. Perhaps even three different races. Trophies would be given out. Police need to be hired for
this event also. Bill mentioned that Theresa Murray is coming to the next Selectman’s Meeting
and perhaps some sort of funding for this could be spoken of. Daniel Webster is also looking for us.
17. Production:
Kyle is working on this.
18. Printing:
Shawn is doing our printing.
19. Public Relations:
Bill will contact Kathleen Keegan.
20. Police Tactical:
Chris Wyman is getting information regarding a date and time from the new principal at the High School.
Bill spoke to the Supt. regarding using the location of the High School and the tennis court for this event.
21. Colonial Encampment:
Bill mentioned that the Supt. of Schools is on board with this project and having it at the High School.
22. House Tours and Garden Tours:
Judy Parks is contemplating having six to eight venues on May 20, 2012. She will be giving us more
Information later.
23. Fireworks:
The cost of this event is $15,000.00. A decision of the date and location still have to be determined.
24. Religious Activities:
No news.
25. Brick Walkway:
John Proctor states this project is continuing. He will have more information after Memorial Day as he will
be meeting with the Selectmen. The budget will be done for the Selectmen at that time. There will be 350
bricks in the first phase of the project. Bill mentioned that he will donate 100 bricks to the Committee.
Brick masons will be needed and Bill stated that he will contact a few that he knows. Perhaps Ted Cain
will be interested.
26. Town Quilt:
This is coming along.
27. Needlepoint:
Beth Dwyer’s needlepoint will be at the Golf Tournament to be raffled off.
28. New England Village:
Ginger Comeau stated that this is school vacation. She will have more news shortly for us.
29. Patches:
Bill has ordered smaller patches as requested. They will sell for $3.00 each.
30. Tree Reforestation:
Rick states red cedars, swamp cedars and pussy willows are the seedlings that he is trying to find a location
for. He will contact Janet to construct a letter to Conservation regarding this. Rick will also contact Janet
to develop a thank you letter to Lowe’s for their donation to this project. The seedlings cost 30 cents each.
31. Closing Events:
Bill states that this is a work in progress.
32. Fred Doyle request:
Fred Doyle is interested in having a reunion of students from the past as was done for the 275th. Fred felt
this is very important. Several suggestions were made. Perhaps an open house of some sort or something
at the Opening Event Kickoff. Fred mentioned even something at the parade. The program could
encompass all Pembroke graduates. The Committee has no problem encompassing this in the 300th
celebration. Organizational committee needs to be set up for this type of project. Fred stated that he is
willing to be on this committee but is unable to chair it. Perhaps something can be put on the website.
