300th ANNIVERSARY COMMITTEE MEETING
TOWN INCORPORATED MARCH 21, 1712
Date: May 17, 2011
Time: 7 p.m.
Place: Pembroke Country Club
The meeting opened at 7 p.m.
Present were Bill Boulter, Margi Neil, Tiny Brown, Pat Ahearn, Kyle McGivney, John Mattinson, Kathleen Keegen, Bob Dorsey, Deborah Wall, Debbie Peckham, Kyle Harney, Art Egerton, Steve Walsh, Phil Burnham, Ginger Comeau, Orlando Cavallo, Julie Thompson, and Janet Fahey.
Golf Tournament:
Bill and Julie thanked everyone for all their help with the Golf Tournament. Julie stated that the profit for the tournament was approximately $6450.00. Bill mentioned that he spoke to the owner of Sandbaggers about next year and he will begin working on donations now. Discussion continued about next year and what would be done differently. It is felt that marketing for the tournament next year is key. Perhaps there could be two separate events instead of the tournament and the evening event during the same day. More discussion continued.
Aviation:
Bill stated that Dick Ferrara is working on this project with him. Art feels that perhaps a video would be beneficial for this event.
Fundraising:
This committee needs to meet. Bill will set this up.
Bill mentioned that the K.E.E.P. Company is willing to do items for us as he did for the 275th. Bill will keep us updated. Art mentioned that perhaps commercials would help with the fundraising events.
Bill mentioned that perhaps we should copy write our products.
Laura McLeod asked about the DVD that she brought to a meeting recently. She feels that would be a good fundraiser. Karen Proctor viewed this and she will bring it back when she comes to a future meeting. We will be able to decide at that time.
Pat Ahearn mentioned that Honey Baked Ham does fundraising also. They sell gift certificates and we can make 50% of the sale. This type of fundraising would cost us nothing.
Parade Committee:
Phil mentioned that that committee meets on the first Wednesday of the month. He will be assigning people to the parade. Parade rules and regulations have been forwarded to Deborah Wall as well as applications for the parade. Phil mentioned that all payments to groups need to be paid on the day of the parade.
Phil is planning to book free bands now. He mentioned that Greg Hanley is willing to donate the money for the bagpipers from Boston. Jim Neenan is also looking for marchers for the parade. The 215th Army Band will be in attendance for no cost.
Treasurer’s Report:
Bill read the Treasurer’s Report. Bill mentioned that he would like to be able to give back the money the Town has given us. This will have to be done through fundraising.
Bill mentioned that he approached Coffman Realty for a donation, but none was given.
Memorabilia:
Bill mentioned that the small patches have arrived. They will be sold for $3.00.
The hats are also in. They will sell for $15.00. Bill mentioned that Sandbaggers is interested in selling hats for us.
Plates –
South Shore Savings Bank, Bridgewater Savings Bank, Charlie’s Two, Pembroke Center Library, Pembroke Town Clerk’s Office and the Pembroke DPW Office is selling the plates.
Plates:
There was a discussion on the numbered plates by the Committee. Bill has a list of the reserved numbered plates that people wish to purchase.
The Committee needs to make a decision on this. We need to make a decision so this is fair to all. Discussion continued with different ideas.
Antique Car Show:
There is need for assistance at the 300th table at the Antique Car Show. Pat Ahearn states that she will be there. The Show goes from 9-3. Please contact Bill if you will be able to assist.
Kick-off Event:
It was decided to change the Kick off Event to the week of March 21. Perhaps that Saturday (March 24). Perhaps this could be in the gym at the Community Center as this was the old High School.
Committee Heads could speak about their events that will be happening in that year. Videos can be shown, etc.
Pembroke Book:
It was mentioned that this book will be ready for this Christmas. Shawn is getting prices for us.
School Pins:
Bill has not had any luck in contacting Judy or Amy. Bill has been to the school and spoken to the principal. The K.E.E.P. Company and they are interested in doing these pins.
Town Calendar:
Debbie Peckham has done a mock up for us. She has many ideas for this project. She will be speaking to the Historical Society about some pictures for the calendars.
It was also mentioned that perhaps a coloring book could be done for raising funds for the 300th.
Carnival:
It was mentioned that there would be no problem booking the Carnival for 2012. We will work around First Church’s. We need to set dates. Ticket sellers will be needed for the event.
Website:
Deborah stated that there is nothing new. Promos are needed for our items though. Deborah is also putting the information on face book. Deborah also stated she can place the parade route on google. It was also stated that Committee Meetings can be posted on the Website.
Wine:
Bill mentioned that he wishes to have the establishments that are selling wine on the website. They are as follows:

Old Colony Sportsmen’s Club

Lindy’s

Bill stated that this is coming along well. Bill mentioned that the Cranberry Wine will be ready by September or October.
Research:
No report.
Herring Run Road Race:
No report.
Production:
This will begin in the fall. The first production is complete. Art and Kyle are working with the schools also. They wish to interview all the Committee Heads.
Printing:
No report.
Public Relations:
Kathleen will be doing a press release and she will place it on face book. She also wishes a contact database. Kathleen is also thinking of contacting WATD.
Police Tactical:
This is ongoing.
Colonial Encampment:
This is ongoing.
House Tours/Garden Tours:
The date has been set for May 20, 2012.
Fireworks:
No decision has been made for the date of the fireworks. Perhaps this could be done at the Recycling Center.
Religious Activities:
No new news. Bill mentioned that North River Comm. Church needs to be contacted.
Brick Walkway:
Bill mentioned that John needs a budget for this project. The bricks will be sold for $40.00 apiece. John will be speaking at the Selectmen’s Meeting on June 6.
Lou Cook will donate the labor for the Medallion for the walkway. Brick masons will do the labor on placing the bricks.
Time Capsule:
A decision needs to be made on the size of the time capsule and what is to be placed in it.
Quilt:
Deborah Wall states that a couple hundred dollars is needed for the backing of the quilts that are being done. One quilt will be raffled and one will be donated to the Town. It will be ready for the Arts Festival.
A display case will be needed to be purchased also. Kyle motioned that the money for the backing should be given to Deborah. Seconded by all. The home for the quilt will be at the Pembroke Center Library.
Needlepoint:
The needle point sold for $100.00.
New England Village:
Ginger mentioned that the residents at New England Village can have some jewelry options for us.
Hibiscus Tree Donation:
Orlando Cavallo mentioned that he has approximately 300 hibiscus tree saplings that he wishes to donate to us as well as the Town. He can get these to us whenever we wish them. He can pot them up if we wish. The Committee thanked him for his donation.
Coins:
Bill mentioned we are waiting to hear from Shawn regarding this. We need to make a decision on what we wish for the back of the coin.
Tee Shirts & Sweatshirts:
Digger will be getting prices for us.
Concert:
Bill wishes to have a concert for our Anniversary year. He will contact the school and get back to the Committee.
Treasure/Scavenger Hunt:
Bill mentioned this is progressing. He is checking into this for us with Karen Proctor for historical significance. Kathleen Keegan will get info from Bill and Karen and give it some PR.
Ball Committee:
No report.
Town Events:
Bill wishes to have our plans confirmed and be able to advertise this so other groups can work around us as we will be working around other yearly Town events.
North River Cruise:
This is ongoing.
