TOWN OF PEMBROKE
300th ANNIVERSARY COMMITTEE MEETING
TOWN INCORPORATED MARCH 21, 1712
Date: June 21, 2011
Time: 7 p.m.
Place: Pembroke Country Club
The meeting opened at 7 p.m. Present were Bill Boulter, Lew Stone, Jeff Kavanah, Debbie Peckham, Art Egerton, Kyle Harney, John Proctor, Karen Proctor, Shawn Hennigan, Kyle McGivney, Steve Walsh, John Mattison, Pat Ahearn, Claire Walsh, and Janet Fahey.
There was a motion to accept the minutes of May as read. This was seconded.
1. Military Support Group:
Miscellaneous items were sold at this event totaling $173.00. This money was turned over to the secretary for deposit.
2. Pembroke Youth Girls Basketball Fundraiser:
There was a donation of $600.00 made by this group. A thank you letter will be sent.
3. Hibiscus Tree Donation:
A donation of 300 saplings was made to the 300th Anniversary Committee by Orlando Cavallo of 17 Holly Hill Lane in Pembroke. Mr. Cavallo has potted saplings for the committee to sell at the Farmer’s Market. He is willing to take care of these saplings for us until we need them. There was a discussion on how much these saplings should sell for. It was finally decided to sell these for $5.00 each.
4. Kick off Event:
A meeting is needed to be held for this event. An MC is also needed. The place will be Pembroke Country Club. Bill suggested a birthday cake for this event. Steve Walsh stated that he is willing to look into finding a cake for the event as well as ice cream.
Kyle Harney and Art Egerton will have film of each committee head talking about their events.
Bill mentioned that a presentation of a numbered plate for the Town will be held at this time.
There will also be film of the 250th Anniversary. Kyle, Art, John and Karen Proctor will put together this portion of the evening with narration.
5. Fireworks:
A date needs to be set for the fireworks. It was thought that perhaps at the kick off event. This is an expensive venture and fundraising is needed for this immediately.
6. Religious Activities:
Bill will check with the pastors at each church regarding the 300th Anniversary celebration.
7. Jewelry:
The K.E.E.P. Company has made us silver and gold lapel pins. It was decided to sell them for $22.00 each. The owner is also doing golf markers and coins. There was a motion made to have Bill do this. Motion passed by committee.
8. Pewter Plates:
A decision has to be made by the Committee whether to sell numbered plates or not. There was a suggestion made to have these numbered plates paid for in advance because of the additional cost to the committee. Public Relations will be done for this with a cut off date. This will be publicized and then discussed at the next committee meeting.
9. Coins:
A decision has to be made on what is going to be on the back of the coins that we are planning to sell. Karen Proctor mentioned the Herring Run. There was a motion made and this was seconded by John. Motion passed by all in attendance.
Josh Cutler and DJ’s Goldmine are putting up the funding for this venture to begin. They will be paid back with the proceeds from the sales.
10. Parade:
Jeff Kavanah mentioned that Greg Hanley is donating the Bagpipers from the Boston PD for our parade. Paul Flanagan is putting an antique car in for the parade and Kim Cleary wishes to have a float in the parade.
Funds will be needed for the Parade Committee. It was decided to bring up this at the September meeting.
11. Antique Car Show:
Tiny Brown mentioned to Bill that he is willing to do another antique car show for the 300th. A committee needs to be set up for this future event.
12. Golf Tournament:
A committee needs to be set up for this event next year. Sandbaggers wishes to be involved. Pat Ahearn mentioned that she is willing to be on the committee.
13. Ball Committee:
The Ball is June 16, 2012. A deposit will be needed for the band.
14. Research:
No new news.
15. North River Cruises:
No new news.
16. Time Capsule:
Laura mentioned that she is still working on this. A decision needs to be made on what we wish to put in this capsule and where we wish this to go.
17. Treasurer Hunt:
Bill is working on this.
18. School Pins:
Bill stated that he got an email from the principal. There will be a contest in Sept. and October for the design of the pins. K.E.E.P. Co. will make the pins.
19. Music:
Bill mentioned that he spoke to the Music Director at the High School and he will be meeting with him. It was felt in the conversation that perhaps a concert could be held – perhaps in January of 2012.
20. Aviation:
Bill mentioned that this is ongoing. Bill mentioned that no special permits are needed for this event.
21. Book:
Karen mentioned that most of the articles are finished and she is on schedule. There is no budget yet.
22. New England Village:
Bill stated that he was unable to meet with Ginger, but is planning a meeting soon.
23. Colonial Encampment:
Bill mentioned that he spoke to Rick Janhola and it is too soon to set up this program. Rick will keep us updated.
24. Police Tactical Unit:
Bill mentioned that he will get an update from Chris Wyman soon.
25. Public Relations:
Bill spoke to Kathleen Keegan about the calendar of events for 2012.
26. Production:
This is a work in progress.
27. Herring Road Race:
Beth York is unable to do this event this year but will be able to put it together for next year.
28. Carnival:
No news. Steve Walsh will look into this also.
29. Website:
Bill mentioned that each committee chair should be updating Deborah Wall with new information from their committee. Claire mentioned that she will get in touch with Deborah with updates. Perhaps this could be linked with the school’s pages on the website.
30. Wine:
Bill mentioned that the cranberry wine will be ready for the fall.
31. Raffle:
Bill will have a discussion on this at the next meeting.
32. House Tours:
No news.
33. Town Events:
Bill will research this with the Community Calendar.
34. Calendar:
Debbie Peckham is still looking for more photos for us and will give further update at next meeting. Debbie also stated that she is willing to share her table at the Farmer’s Market with the 300th Committee. Each Saturday until October a person will need to be at the table with Debbie to sell the 300th items.
35. Quilt:
No news.
36. Closing Events:
This needs to be worked on. Claire mentioned that First Church is doing the Pembroke Resolves on December 28, 2012 if we wish to be involved with this as part of our closing events.
37. Brick Walkway:
John discussed the walkway and how it is progressing. John mentioned that the logo that is being planned is very attractive. Sales are going pretty well.
38. Cranberry Scoop:
Bill mentioned that perhaps a cranberry scoop could be raffled off with the cranberry wine that we will be selling. Perhaps at the kick off event. Bill will be contacting the Sheriffs Dept. about the making of the scoop.
39. Fundraising Committee:
This committee needs to begin the process of distributing the fundraising letters.
40. Collection of monies from products:
Pat Ahearn stated that she is willing to go to the different areas that the 300th products have been distributed to and collect the money.
41. Patches:
This is ongoing.
42. Fashion Focus:
Bill mentioned that Fashion Focus will be doing a fundraising event for the 300th Anniversary Committee.
43. Pamphlet:
John Proctor mentioned that perhaps a pamphlet of the 300th products could be dispersed throughout the schools.
The meeting was adjourned at 9:30 p.m.
The next meeting will be on July 19, 2011 at the Pembroke Country Club.
