300 th Anniversary Committee

July 21, 2009 Pembroke Country Club

The meeting opened at 7:10 p.m.

A sign-in sheet was completed – 11 people attended

1. Minutes and Treasurer’s Report were not discussed. Both reports will be made at the August meeting.

2. Approval is required to pay committee invoices and the Chairman, or the Co-Chairman plus the Treasurer are authorized to approve payment. The Chairman was given approval to design and purchase a 16” x 24” sign “300^th Anniversary Meeting Tonight” at a cost of $84.45. The invoice will be processed as described. Karen Proctor made the motion and Lew Stone seconded. Voted 11 – 0.

3. Reports of any Special Committee:

a. Booklet Report – Libby Bates – no report

b. Ball Committee – Rose Egerton – Need contact person at the Country Club

c. Web Site – Debbie Wall – no report – new ideas mentioned

d. Research – Karen Proctor – Pembroke incorporated 3.31.1712. Booklet with procedures for “Sister City” organization.

e. Parade – J. Kavanah – Needs planning assistance. Bob Dorsey will help. Suggest contracting Police, Fire, and High School Band for their input. Cable TV for input regarding filming.

f. Herring Run Road Race – no report – need people

g. North River Canoe Race – Watershed Group sponsors this event – use 300^th as theme?

h. Producer – K. Harney – Schedule series of TV shows on famous Pembroke people in costume.

i. Printing – S. Hennigan – Will coordinate all printing requirements for 3ooth Anniversary.

j. Public Relations – K. Keegan – no report

k. Aviation Weekend – R. Farrara – August fundraiser.

l. Police Tactical Unit – C. Wyman – Military week planned.

m. Colonial Encampment – R. Janhola – Planning event of “old vs. new” in October.

n. Catering Events – Davis Crest – Planning a 300^th Kickoff Event in January 2012.

o. 300^th Jewelry – M. Kirby – Looking into 300^th items to sell for fundraiser.

p. Historic House Tour – Use COA buses, GATR buses or trolleys with brochure.

q. Yearly Calendar of Events – J. Kavanah – Updates made to events and distribute to members – add to website?

r. “Pembroke Towns” – Karen Proctor – Researching for towns with similar names in progress.

s. Coins – no report

t. Pewter Plates and Mugs – no report

u. “Pembroke” wine – Bill working with wine maker

v. Student School Pins – no report

w. Rockland Trust Bank – N. Kindregan – Looking into selling 300^th items in bank.

x. Fireworks – B. Dorsey – Will research issues.

y. Town Signs – Bill Boulter – Idea to provide Town with a permanent “Gift” of value from 300th Committee. i.e.: electric sign used for events and changed electronically by computer. Suggest using Library to coordinate management.

z. Monthly New Letter – Use web site? Publish minutes? Needs more information.

aa. Auction/Antique Show – Need fundraiser ideas – Auction of Town Equipment (cars, etc.) Police Dept. items acquired through investigations of robberies and in storage.

bb. Regular Town Events – Use the 300^th Anniversary as the theme for all events i.e.: Arts Festival, Church Fund Day, etc.

cc. Religious Activities – no report

dd. North River Cruises – North River resident will donate boat for Historical Tour of River. Brochure of sites could be provided. Fundraising activity.

Unfinished Business:

Logo – Maryann Simmons designing – Need Art Festival ideas also.

New Business:

· Need deadlines added to projects to keep on a schedule for completion.

· Need a list of all members of the 300^th Committee, names, addresses, telephone numbers and email addresses.

· Calendar created for 2012 with pictures of historic Pembroke locations for each month. All 3ooth events to be included for a fundraiser.
