300th ANNIVERSARY COMMITTEE

PLEASE NOTE: NEXT MEETING IS JAN. 26, 2010 AT PEMBROKE TOWN HALL AT 7 P.M. IN CONFERENCE ROOM 2ND FLOOR
Date: December 15, 2009
Time: 7 p.m.
Place: Pembroke Country Club
Bill Boulter opened the meeting at 7:10 p.m.
1. The sign-in sheet was passed around. In attendance was Bill Boulter, Lew Stone, Kyle Harney, Karen Proctor, John Proctor, Phil Burnham, Jeff Kavanah, Deborah Wall, Beth York Shawn Hennigan and Janet Fahey.
2. There was a motion to approve the minutes of the November 17, 2009 meeting. Accepted as printed. Seconded by all.
3. Vice Chair Report: Lew had nothing new to report.
4. Booklet Committee: No report.
5. Ball Committee: No report at this time. However at a later date Rose Egerton confirmed that that she and Claire Walsh had a date for the Costume Ball. It will be on January 13, 2010.
6. Website: Deborah Wall stated that the sponsor’s page is being developed. Information for payment will be linked to the website. The sponsor’s names will be on the website link. More information to come from Karen Proctor and Deb Wall. Karen Proctor has titles for the sponsorship donations. They will be as follows:
Founder $2500.00 and above
Sachem $1001.00 - $2500.00
Patriot $501.00 - $1000.00
Shipwright $251.00 - $500.00
Planter $101.00 - $250.00
Harvester $1.00.00 - $100.00
There was a motion to accept these titles and price ranges. It was also agreed upon to post these on the website. Discussion continued regarding certificates for above donation event booklet. Sponsors will be categorized.
7. Parade Committee: Jeff Kavanah
A guest came into our meeting. His name is Phil Burnham and he is willing to assist Jeff Kavanah with the Parade as he has done many. He described how he has done these over the years. He also gave the committee a resume. He described the many aspects of running a parade. At this time it was motioned by Jeff Kavanah to have Phil on his committee. Approved by all. The Committee is very happy to welcome him aboard.
Phil mentioned that in the past the State of Massachusetts gave money for such events. Our State Rep may have more information on this.
Bill mentioned that this committee should meet separately to begin their process and report back to the rest of the 300th.
At this time Beth York mentioned that she will also work with Phil on the Road Race that is in conjunction with the parade day.
Bill mentioned that perhaps the Matt. St. Garden Club should be asked if they wish to have a float in the parade.
8. Road Race Committee: Beth York stated that she will have more information at the January meeting. She is hoping to do some recruiting with schools to make this a fun event and get participation from the residents of Pembroke. She wishes in some way to get sponsorships for the runners/walkers. She will be contacting Rick Kates also.
9. Producer: Kyle mentioned that his committee work will begin in the spring.
10. Printing Committee: Shawn Hennigan is possibly planning greeting cards for next Christmas. He wishes to be able to obtain some old photos so he can scan them. The 300th Committee suggested that post cards and calendars would be good fundraising items. Perhaps this can be looked into.
11. Public Relations Committee: Kathleen Keegan not in attendance but mentioned to Bill that she is working on this.
12. Aviation Committee: Bill mentioned that he is getting information from contacts in Provincetown that have antique planes. Bill stated that his contact will put information in an aviation paper regarding the antique planes and our 300th.
13. Tactical Committee: Bill states that Chris Wyman is working on this.
14. Encampment Committee: Rick Janhola is working on this event Bill states.
15. Jewelry Committee: Michael Kirby is waiting for the logo to be chosen.
16. Logo Committee: Bill is still waiting for the School’s input. Bill stated that the 300th will choose the logo in January, 2010.
17. Calendar of Events: These are being updated on the website.
18. Coin & Plate Committee: They are waiting for the logo also.
19. Pembroke Wine: Bill brought in wine from a Pembroke resident and the committee had a tasting. This wine was from Bob Costanza. It was a blueberry wine. We will also be having a field trip to the Boston Winery.
It was also brought up that perhaps a cranberry wine could be our wine. This all needs to be determined at a later date. Discussion continued about the different aspects of selling, labels, etc. We first need to set up a field trip.
20. School Pins: Judy McAuliffe has no update as a logo has to be chosen.
21. Fireworks: no report from Bob Dorsey
22. Antique Show: Tiny Brown is interested in this and the Committee will be updated.
23. January & February meetings will be determined at a later date.
24. Religious Organizations: The local churches need to be contacted regarding the 300th. Lew Stone will contact St. Thecla’s and Janet will contact Bryantville United Methodist. Perhaps an ecumenical dedication can be done.
25. Carnival Committee: Bob Dorsey is working on this.
26. Brick Walkway: John Proctor is speaking with an architectural person regarding this. He is researching this also.
New Business:
1. Deborah Wall mentioned that planting of trees and perhaps a quilt may be good ideas to work on for the 300th. She will gather more information for the committee.
Bill brought up once the logo is chosen, the 300th Committee should have stationary to be able to begin the sponsorship drive.
In closing, Bill mentioned that the logo is the first thing that needs to be wrapped up and then fundraising is the next essential item to be worked on by the 300th Committee.
