TOWN OF PEMBROKE
300th ANNIVERSARY COMMITTEE
TOWN INCORPORATED MARCH 21, 1712

Place: Pembroke Country Club
The meeting was called to order at 7 p.m. The sign-in sheet was passed around.
There was a motion to approve the minutes of April 20, 2010. Seconded. All in favor.
1. Patches
Bill reported that he has patches for the 300th to sell. He had them ordered through Andrea’s, a company he has worked with for years. The patches cost $2.00 apiece and he hopes, with the Committee’s approval, to sell them for $5.00 apiece. He has in possession 300 patches presently. He wishes authorization from the Committee to do this. There was mention where to sell these patches throughout Town at this meeting. Bill also needs to be reimbursed for the cost of these patches. There was a motion to have Bill reimbursed. Seconded. Approved by all.
2. Boston Winery Tour
The tour was a success Bill stated. We have seen what the labels will look like for the wine we plan to sell. There was a charge of $50.00 for the bus, which Bill paid for upfront. He needs to be reimbursed for this also. There was a motion to have Bill reimbursed for this also. Seconded. Approved by all.
3. Booklet Report
Libby Bates reports that she has had a meeting regarding this and it is a work in progress.
4. Ball Committee Report
Rose states that the Ball will be on June 16, 2012. There will be another committee meeting on June 14, 2010 and will give us updates at our next meeting.
5. Research
Karen mentioned that she has been assisting the committee as needed. Nothing more to report.
6. Parade Committee
Phil mentioned that he is planning to set up a meeting with the committee. The committee consists of Phil Burnham, Jeff Kavanah, Bill Boulter, Rick Wall, Mike Jenness, Linda Osborne, and John Mattinson. He wishes to invite to this meeting the Police Chief, Fire Chief, and the Director/Asst. Director of the DPW. He mentioned that he still needs assistance.
Route, budget, funding, floats, bicycle parade, doll carriage parade, vendors, sponsors, bands, Clydesdale horse and development plans were discussed for some time. Libby mentioned that she has a list of the people that participated in the 275th and she will get this to Phil.
7. Canoe Race
Bill mentioned that the North/South River Watershed wishes to be involved with our celebration. He has contacted them and will update us as soon as he has more information.
8. Producer
Kyle states he is making progress with this. Kyle stated that he wishes to have television shows regarding the events and will give us more information in the future as he gets it. John Mattinson, the Exec. Director of Pembroke Media Broadcasting wishes to assist Kyle. John wishes to keep the studio involved with the celebration.
9. Winery
Shawn mentioned that all went well at the last meeting at the Winery visit.
He mentioned that Pembroke Liquors will sell some wine for us, with them receiving no profit. Bill and Shawn are working on a list of establishments with liquor licenses (stores, restaurants, etc.). The price is yet to be determined from the Winery that Shawn is working with. The Winery that Shawn is working with will send its wine maker to one of our meetings.
The present labels will go on the red and white wines for now. In 2012 the cranberry wine will have a different label. The cost for this wine will be different for this though. Again, the price to sell this is yet to be determined.
Bill thought that we would sell 300 bottles of the cranberry wine that will be numbered for a higher price and then we can sell unnumbered bottles of cranberry wine at a lower price. This is something that the Committee should consider.
10. Product Sales
Bill mentioned that Bob Dorsey will probably wish to sell t-shirts, hats, and other items for the 300th. Libby mentioned that this was very successful at the 275th. Perhaps the Committee could have different types of t-shirts, etc. for this event.
It was mentioned that flyers could go home with students so the public would be aware of the happenings.
11. Press Releases
Kathleen Keegan has sent out another press release. She will be doing this on the Website and on face book also.
12. Aviation
Bill mentioned that there is progress on this. Dick Ferrara is working with Bill on this. Bill mentioned that the Coast Guard is also interested in being involved with this event. Beth York mentioned to Bill that perhaps para-
Troopers could jump. She also jumps.
13. Tactical Unit
Chris Wyman is working on demonstration for 2012 with his group. Perhaps this could be done the same weekend with the Military Weekend and the Encampment.
14. Colonial Encampment
Rick Janhola is working on the group that comes from out of state. More information to come.
15. Kick-off Event
No plans as yet. It was mentioned that a booklet of events could be given out at this event. Libby suggested a slide presentation to help promote the year’s events. There could be a raffle, some type of fund raising. Libby mentioned these have been well attended in the past.
Kyle mentioned that he will be doing a presentation at this event. He also mentioned that he will be having 12 shows during the entire year.
16. Jewelry
Mike Kirby of M & F Jewelers is working on a product for us and he will have something to show us soon.
17. Historical House Tour
Judy Parks stated that the date for this tour will be in May of 2012. She is planning a House Tour Booklet, a House and Garden Tour (places of historical significance).
18. Coins
It was mentioned that real silver could sell for $50.00 and Bronze coins could sell for $30.00.
Libby mentioned that they used a coin dealer in Hanover and at that time he put an ad in a magazine for them. They sold a lot of coins for the 275th.
Libby will look into this for the Committee.
19. Pewter Plates and Mugs
Libby has proposals from two different companies and samples to show the Committee. (see proposal sheet given out at meeting). The selling price needs to be determined. The consensus of the Committee at this meeting was to go with what we had in the past. It was the Wilton Armetale plate.
Bill mentioned that he is going to ask for more funding at the Fall Town Meeting for this Committee to help defray the costs.
It was mentioned that Jim Hannon matched donations from the businesses for the 275th. She mentioned Rockland Trust. Bridgewater Savings and Mutual Savings Banks.
20. School Pins
Bill mentioned that Judy McAuliffe is working on this.
21. Fireworks
Bob Dorsey is working on this, Bill mentioned. Bill stated that the location has been determined also.
22. Auction and Antique Show
No report.
23. Old Home Day Fair
Bill mentioned that this event will encompass the 300th Anniversary theme that year.
24. Religious Activities
Pastor Rick spoke about the Sister City International. He stated that there is a fee of $360.00 per year to belong to this. He stated that if we do this, we will have people to put up during the event. There is a process to go through for this. He feels that it would be good interaction to do this.
Karen Proctor mentioned that Margie McNeil has some information on this from the past.
25. North River Cruises
Bill is working on this to find out the historical areas of the North River.
26. Brick Walkway
John Proctor will have more information shortly regarding site evaluations.
27. Carnival
Bob Dorsey is working on this event for the Committee.
28. Golf Tournament
Bill is working on this with the Country Club. They will sponsor this event.
29. Closing Events
Bill mentioned that perhaps this could be similar to the Kick-off Event. This would take place in December 2012. Perhaps tickets could be sold for this.
30. Sponsorship & Fundraising Committee
Kathleen Keegan, Shawn Hennigan and Bill Boulter are on this committee. They have to set up a meeting.
31. Time Capsule
Laura MacLeod mentioned that we need first to determine the dimensions of this capsule before anything else. This was agreed upon. Perhaps this could be made of titanium as this will not decay in the ground. More information later.
32. New England Village Report
Ginger Comeau, from New England Villages, wishes to state that their community wishes to be involved with the 300th Anniversary program. She feels that there are many possibilities that they could participate in. Their residents make jewelry. They could help with anything that was Town related for items. All members felt this would be wonderful to have New England Village residents involved.
Bill mentioned that each committee should contact John Mattinson, from PMB, and Kathleen Keegan, PR, for any information they wish to advertise. All updates should go through these two people.
