300th ANNIVERSARY COMMITTEE

PLEASE REMEMBER THAT ALL MEETINGS WILL BE HELD AT PEMBROKE COUNTRY CLUB ON THE 3RD TUESDAY OF THE MONTH

 

The meeting was called to order at 7 p.m.  The sign-in sheet was passed around.

1. Bill Boulter advised the Committee that a copy machine had been donated by the Reed family of 36 Pudding Brook Drive.  A thank you note will be sent to them.  This machine will be used for the 300th Anniversary Committee documents.

2. Secretary Report – There was a motion to approve the Secretary’s Report as printed.  John motioned and Rose seconded.  All in approval.

3. Treasurer Report – no report given as no monies have been used.

4. Bill suggested that the Committee ask for more funding at the Fall Town Meeting.

5. Booklet Committee – This booklet is being worked on at present and will be ready for disbursement in 2011.  Karen Proctor is also working on this Committee.  Ideas are still being formed as to what should appear in this booklet.

6. Bill received an email from Libby Bates.  She suggested that the pewter plates for the 2012 Anniversary year should be offered first to those who received them first at the 275th.  She has a listing of these people.  Bill brought this forward to the Committee members present.  It will be discussed further at another meeting.  Bill feels that the current committee should make the decision about this. 

Karen and Libby are working on the pewter plates regarding the logo.  Bill suggested that we number a certain amount of plates and the Committee that is present at that meeting has to decide how many numbered plates there will be.  This will be a topic of discussion at another meeting.

7. Ball Committee – They met last nite and discussed the event.  Their next meeting will be in June.  Claire Walsh is the Chair of this committee.  The Ball Committee discussed cost of the tickets, the meal, the band, table decorations, fund raising, photography, transportation, etc.  More information will be forthcoming.

8. Spoons – Rose Egerton brought a set of spoons that she had from the 275th to give the Committee ideas of what happened then.  More discussion to continue about this.

9. Pins – Rose also brought some pins in from the 275th.  Bill suggested that Rose show these pins to Michael Kirby to give him some ideas of what was done before.

10. Rose also brought in a bottle presented in a basket and a bell for the Committee to look at.  Bill thought maybe a cranberry scoop with a bottle of cranberry wine would be a good idea.  Perhaps the vocational students could assist with the scoops for the 300th.

11. Website – It was mentioned that the website has brought some interest for quilting.  Deborah Wall mentioned to Bill that she has one person interested

already.

Bill mentioned that Deborah hasn’t been able to contact Scott Glauben as yet about the tree idea.

12. Research – no new updates

13. Parade Committee – Jeff and Phil are working on this.  Bill stated that he will assist them in coordination with Town Officials for this event.  Phil mentioned that in the parades he has done in the past, the Committee rides in the parade.  If anyone is interested in assisting with the parade, please contact Jeff.  Phil mentioned that a route needs to be determined and Bill stated that he can assist with that too.  Phil mentioned a budget needs to be set.  Jeff will set up a meeting to begin the process of these needs.

14. Herring Run Road Race – no information as yet.

15. Nor River Canoe Race – Bill is waiting to hear more info from the Watershed Committee.

16. Producer – Kyle is working on this presently.

17. Printing – Shawn brought samples to the meeting for the Committee to look at and choose.  Kathleen motioned that the sample chosen will be the logo in the center of the page with the address at the bottom center of the page.  The paper chosen will be amber colored parchment type paper. This motion was seconded by several people.  All in agreement. The envelope will be of the same paper, but the logo will not be on the envelope Shawn stated because it doesn’t show well.  It will have the return address on it stating the 300th Anniversary Committee.

 

Shawn also stated that he can perhaps do note cards for the Art Festival this year.

18. Public Relations – Kathleen will be putting a press release for the fund raising in

the local papers.  Lori & Jason Cook will help with this committee.  Kathleen is still looking for a chair for this committee.  Please contact Kathleen if interested.

19. Aviation Weekend – Bill mentioned that the Coast Guard will do a rescue 

program for the 300th.  Bill will get more info for the Committee later.

20. Police Tactical Unit – no new information as yet.  They are working on a pro-

gram for us though.

21.  Colonial Encampment – no news as yet.  The Chair is still in Florida.  More info           

 soon.

21. Jewelry – Mike Kirby is very interested in doing something for us.

22. Historic House Tour – Judi Parks is interested in this project and she will chair the committee.

23. Calendar of Events – this is on the website.

24. Coins – no information as yet.

25. Pembroke Wine – Bill wishes to have a field trip to Boston for the March 16 meeting. Perhaps we could meet at the Pembroke CC at 6 p.m. for Boston.  We need to design a label for this.  Bill will try to contact someone about a bus for this event.  More info later.  

      Shawn is also checking with his resource.

26. School Pins - Judi McAuliffe is checking into this for us.

27. FireWorks – Bob Dorsey will update us soon.

28. Sign – Rose submitted a quote for this.  More discussion later.

29. Auction – No committee has been formed yet.  Perhaps a chowder festival.  Tables could be rented out for this by restaurants.

30. Antique Show – no info as yet.

31. Town Events – The Committee will work around the town events with our events.

32. Religious Events – Some of the churches in Town have already responded positively with us.  More info later.

33. Olde Home Day Fair – Claire Walsh is Chair of this and will be basing their program with the 300th ideas.

34. It was mentioned that we could sell sweat shirts, tee shirts, hats, etc. for fund raising.

35. Brick Walkway – John Proctor stated that Otis Hawthorne and Jean Homola are interested in this project.  Site and size is to be yet determined of walkway.

It was brought up that most of the planning for the 300th should be completed this    year.  Publicizing should be done in 2011 and then building the walkway in 2012

36. Closing Events – Bill feels all the Committee should be recognized for all their work.

 

37. Sponsorship Committee – Letters will be going out regarding sponsorships soon.

38. Gold Tournament – Pembroke Country Club will do a Golf Tournament for the 300th Anniversary.
