TOWN OF PEMBROKE
300th ANNIVERSARY COMMITTEE MEETING
TOWN INCORPORATED MARCH 21, 1712
Date: July 19, 2011
Time: 7 p.m.
Place: Pembroke Country Club
The meeting opened at 7 p.m.
Present were Bill Boulter, John Mattinson, Deborah Wall, John Proctor, Karen Proctor, Kathleen Keegan, Penny Winn, Laura MacLeod, Margi Neil, Phil Burnham, Bob Dorsey, Pat Ahearn, Debbie Peckham, Lew Stone, Kyle McGivney, Shawn Hennigan, Steve Walsh, Claire Walsh, Ginger Comeau, Rick Madden and Janet Fahey.
There was a motion to accept the minutes. They were approved and seconded.
1. Kick off Event:
Steve Walsh will be looking into getting a cake for the Kick Off Celebration. It was also mentioned that perhaps Silver Lake Regional would be able to do this type of work for us. Presently the committee is thinking of having the celebration at the High School, perhaps with fireworks.
2. Fireworks:
Bob Dorsey mentioned that he has a meeting with Chief Neenan and the State Fire Marshall at the Recycling Center on 7/29/11.
Pat Ahearn mentioned that Duxbury is having its 275th and she stated that she will speak to Josh Cutler to see what they are having.
A date still needs to be set for the fireworks. Parking for the fireworks was also mentioned as to whether to charge or not to charge. Some feel that parking should be free with a donation bucket and others feel that there should be a $5.00 charge to park.
Some were wondering if this should be a stand alone event or incorporated with another event. More discussion continued.
3. Farmer’s Market:
Debbie Peckham reported that two small hibiscus plants were sold and a total of $35.00 was obtained at her booth for the 300th Committee.
4. Tree Reforestation:
Rick Madden mentioned that he wishes to have 300 red and 300 white cedars ready for Arbor Day in 2012 to sell for the 300th. There will be a minimal cost involved for the purchase of these trees. Rick stated that a thank you note needs to be sent to Lowe’s for their donation. Rick will see Janet at the office for the information to be included in the thank you letter.
5. Donations:
Building 19 made a donation to the 300th. It was a piece of the old seating at Fenway Park. Perhaps this could be auctioned off. A thank you letter will be sent to them.
6. Religious Activities:
Bill has sent emails to all the surrounding churches and is waiting for response. It is progressing.
7. Jewelry:
K.E.E.P. Co. is making pins and golf accessories for the 300th. More info later.
8. Pewter Plates:
It was decided after discussion at this meeting to sell numbered plates. Bill has made a proposal that submissions for numbered plates need to be in and paid for in advance by September 1, 2011. The cost of these plates will be $100.00. It is on a first come first serve basis. A motion was made and accepted by the committee.
9. Coins:
A decision needs to be made for the back of the coins that we wish to sell. This will be completed by next meeting as we wish these for a fundraiser. It was decided that the Herring Run should be one back to be chosen for the coins.
10. Parade:
Phil Burnham stated the parade is September 23, 2012 and it will begin at 12 noon. His committee has met and all is going along well. Phil stated that sub committees are being formed. Phil stated that the Fire Dept. will lead the parade.
Kyle McGivney states that he is interested in doing a neighborhood float. Matt Norton is
Phil mentioned that perhaps tee shirts could be sold to help defray costs of the parade. A final total of the cost of the parade will be forthcoming.
Margi Neil will be in charge of paying the groups that march in the parade. It was mentioned by Janet at this time that invoices need to be submitted at least two weeks in advance so payment can be made on the day of the parade.
Rick Wall will be coordinating the Scouts in town for the parade.
Phil mentioned that applications need to be filled out by any group that intends on being in the parade. These will be on the website.
Sponsors for the parade were mentioned. Steve Walsh will be looking into some companies for sponsorship for the 300th.
11. Antique Car Show:
Tiny Brown will be in charge of this event but will need assistance from the committee.
12. Golf Tournament:
This event next year will be a work in progress.
13. Ball Committee:
This committee is looking for a band and will come forward as soon as they find one.
14. Research:
No new information.
15. North River Cruises:
Bill is working on this.
16. Time Capsule:
Laura MacLeod came to the meeting with the time capsule that her son, Shawn, donated to the 300th. A thank you will be sent to Presidential Titanium. The value of the time capsule is $5000.00. Laura mentioned that etching still needs to be done for the time capsule.
17. Treasurer Hunt:
Bill is working on this.
18. School Pins:
Bill spoke to the Supt. of Schools and he mentioned that this program will begin in the fall.
19. Music:
It was mentioned that the High School music teacher is interested in a concert of some sort for the 300th. More information later.
20. Aviation:
This is ongoing.
21. Book:
Karen mentioned that the book will be a coffee table type of book. She is hoping to have this ready for Christmas.
It was thought that perhaps businesses in town with a long history could be in this book also as a sponsor of the book. It was motioned by Bob Dorsey that this should be done. Kathleen will put it in the papers.
22. New England Village:
Ginger Comeau brought in a poster from New England Village with the proposed greeting card that they wish to do. It was approved by the committee.
23. Colonial Encampment:
This is ongoing.
24. Police Tactical Unit:
This is ongoing.
25. Public Relations:
Bill mentioned that he spoke to the press and they will be putting an article in the newspaper regarding donations of 300 pennies from families and $300.00 from businesses for us.
Kathleen passed out an info packet regarding press releases to the committee.
26. Production:
John mentioned that the students are being coordinated for a program.
John also stated that Kyle asked for Committee Heads to contact him regarding their projects so they can be on television to discuss them.
27. Herring Road Race:
This will be next year.
28. Carnival:
Bob stated that a date needs to be set for this. Perhaps in October.
29. Website:
The website is being updated. Deborah Wall wishes updates from the different committees so that the website can be accurate.
30. Wine:
Bill mentioned that the cranberry wine is still brewing and will be ready for Christmas.
31. Raffle:
It is being discussed that there be a raffle, somewhat like the Police Raffle. We will sell just 200 tickets with first prize of $5000, second prize $1500, third prize $500, and fourth and fifth prize $300. A motion was made and approved. Laura MacLeod will run this project. Shawn Hennigan will print these tickets for us. Laura will distribute these tickets to the committee members to sell also.
32. House Tours:
No news.
33. Town Events:
We as a committee will work with the ongoing town events as not to conflict with them. We hope to put our events on the community calendar.
34. Calendar:
Debbie Peckham has the calendar that she has put together ready for Shawn.
35. Quilt:
Deborah Wall states that the quilt is almost done. There will be one to raffle and one to be hung in town in a cabinet. Shawn will be printing tickets for this.
36. Closing Events:
Perhaps December 28 would be a good date for the closing events. This could be done in conjunction with First Church. Claire mentioned what First Church is doing. Discussion continued.
37. Brick Walkway:
John Proctor reported all going well. He wishes a ribbon cutting ceremony for the medallion that is being made. There was a discussion on where to place the time capsule.
38. Cranberry Scoop:
Bob Dorsey will speak with the Sheriff’s Dept. regarding the making of a cranberry scoop for our Cranberry wine to be raffled off.
39. Fundraising Committee:
This committee needs to meet.
40. Treasurer’s Report:
A monthly report is given to the Chair for collections of monies and expenditures of same.
41. Helicopter Picture:
Penny Winn came to the meeting to discuss the possibility of having a photo taken made up of people forming a 300 to sell for the 300th as a fundraiser. The cost of this would be between $700-$800. She has a coupon for $250.00. She will look into this further and get back to the Committee. Perhaps this could be done October 16 or 23, 2011 as a fundraiser. This will need publicity if we intend to do this.
There was a motion made for this to be a joint venture with First Church and if this project is done, the proceeds will be split between the 300th and the First Church. This motion was adopted.
42. Fashion Focus:
It was mentioned that Marie Woods from Fashion Focus will be doing a fundraiser for the 300th.
The meeting was adjourned at 9:30 p.m.
The next meeting will be on August 16, 2011 at 7 p.m. at the Pembroke Country Club.
